Automatic monitoring

Follow the providers your community uses. When a followed provider's Registry status materially changes, such as Approved to Under Review, or Suspended to Approved, the change appears on your dashboard and verified members of your organization receive an email (each person can turn this off in Settings). Credentials that have expired or expire within 30 days are flagged on your dashboard.

A New Standard for Community Access

HOA Provider Registry is working with communities to establish consistent standards for businesses seeking organized access to homeowners, HOA referrals, community service programs, and community-wide opportunities.

Once your community has used the Registry and built its provider record, your board may choose to reference the Registry in its own policies. Adoption is optional and comes after value, not before it.

Sample policy language

“For community-sponsored programs, referrals, organized solicitation, and Association-contracted work, the Association may require that a business hold current Approved standing with the HOA Provider Registry and include its Registry ID on proposals, contracts, and invoices, where permitted by applicable law and the Association's governing documents.”

Important limitation. Participating communities may establish provider requirements for certain community-sponsored programs, referrals, solicitation activities, contracts, or other access categories where permitted by applicable law and their governing documents. HOA Provider Registry itself has no authority to prohibit a homeowner from hiring a lawful service provider. Mandatory-access language should be reviewed by the association's attorney before adoption.

Community questions

What does free access cost, really?
Nothing. There is no subscription, no per-user fee, and no charge to residents. The Registry is funded by business registration fees.
Is the Registry a substitute for checking a contractor's state license?
No. Registry staff review the licensing on file after a record is published and show each result on the record, under the Registry review criteria, but the Registry is not a licensing authority. Confirm licensing with the issuing state agency and request a certificate of insurance directly from the business.
Does a business know which community requested its registration?
No. The business is told that a homeowners association or property management organization requested its registration. Your organization is not identified unless you choose to tell them.
Are our internal provider designations and notes public?
No. Relationship designations, notes, requests, and needs are private to your organization. If your community asks the Registry for a public profile and it is approved, the profile shows only the providers you choose to list.
Can a business pay to improve its status?
No. The registration fee establishes the Registry record, which is published in Approved standing when registration is complete. Credentials are then reviewed. No payment buys a better position in search or protection from review, suspension, or removal. Active Community Provider status shows participation in the optional DealMate Direct Job Program; it is not a higher level of review.
Who operates the Registry?
HOA Provider Registry is privately operated and administered by DealMate Holdings, LLC. It is not a government agency, a state licensing authority, or an HOA. Optional job-distribution programs may be operated separately through DealMate. See the transparency statement.
