About the registry

Who operates the HOA Provider Registry, what registry status means, and what it does not.

Transparency statement

Operator
DealMate Holdings, LLC, a privately held company. The HOA Provider Registry is a product and service mark of DealMate Holdings, LLC.
Nature
A privately operated registry and standards program. It is not a government agency, a state licensing board, a court, or a homeowners' association.
Registry status
Registry status is not a state-issued license, certification, bond, or insurance policy, and does not replace any licensing, bonding, or insurance requirement of any jurisdiction.
Basis of review
Status reflects the registry's review of information supplied by the business and public records available at the time of review. The registry does not inspect work, audit finances, or guarantee performance.
Funding
The registry is funded by business registration fees and the optional Direct Job Program. It does not charge communities or residents, and it does not take commissions, referral fees, or a percentage of any job.
Independence
Status is determined by review outcomes only. Fees do not influence status, ranking, or feedback. Feedback is removed only under the published feedback policy.

Why the registry exists

Homeowners' associations govern roughly one in four American homes, yet vendor vetting inside those communities is repeated from scratch by volunteer boards and management companies with no shared record. A business's conduct in one community is invisible to the next.

The HOA Provider Registry creates a durable, citable record: a permanent Registry ID, a dated status history, credential review against public sources, and a standards program with a defined complaint process. Communities adopt it by reference. Businesses register once.

The registry is deliberately not a marketplace. It does not sell leads, rank by payment, or broker work. Its only product is the record.

Status definitions

StatusMeaning
RegisteredRegistration complete, standards accepted, Registry ID issued. Credential review in progress or not yet requested.
ApprovedLicensing, insurance, and entity filings reviewed against public sources and found consistent with the record. Re-reviewed annually.
Active Community ProviderAn Approved or Registered business currently listed by one or more participating HOA communities as a recognized provider. Displayed alongside the primary status.
Under ReviewA credential, complaint, or standards matter is open. The record remains public. Under Review is not a finding of fault.
SuspendedRegistry privileges paused pending resolution. A suspended business may not represent itself as registered.
RemovedRemoved for a substantiated standards violation or at the business's request. The Registry ID is retired and never reissued.

Review process

  • Intake · within 3 business days
    Entity existence, contact, and standards attestation confirmed. Registry ID issued. Status: Registered.
  • Credential review · within 30 days
    License numbers checked with issuing authorities; certificates of insurance confirmed with carriers; entity standing confirmed with the Secretary of State. Status: Approved when consistent.
  • Annual re-review
    All credentials re-verified on the anniversary of registration. Lapsed items place the record Under Review.
  • Complaint handling
    Complaints from communities or residents are acknowledged within 5 business days. The business has 10 business days to respond. Outcomes are recorded in the public status history.

Complaints, disputes, and corrections

Any community, manager, or resident may report a concern about a registered business. Any business may dispute information on its record. Reports are reviewed by registry staff, not automated.

Report a business

Correct a record
records@hoaproviderregistry.org · businesses must report material changes within 30 days (Standard 9).
Report misuse of marks
integrity@hoaproviderregistry.org · false claims of registry status or unauthorized use of the seal.
Response timeline
Acknowledgement within 5 business days. Resolution target 30 days.

Privacy

Public records display business name, trade names, category, service area, Registry ID, status history, credential verification status, community designations, and moderated resident feedback. Supporting documents, license certificates, insurance certificates, and contact details for the accountable officer are never published. Resident feedback is published with initials and community name only. Verification lookups are not logged against the person performing them.

Terms of use

The registry is provided as an informational resource. DealMate Holdings, LLC makes no warranty regarding any registered business and is not a party to any agreement between a business and a community or resident. Registry marks, including the seal and the "HOA Provider Registry" name, may be used only by businesses in current Registered or Approved status and only as permitted by the mark usage guidelines. Communities may reference the registry in policies and notices without restriction.
